WebDialogAI ("we", "us", "our") operates the WebDialogAI platform at webdialogai.com. This Privacy Policy explains how we collect, use, and protect information when you interact with our services, including the embeddable chat widget, dashboard, and APIs.

1. Information We Collect

1.1 Chat Widget Visitors (End Users)

When you use a chat widget powered by WebDialogAI on a business's website, we may collect:

  • Chat messages — the content of your conversation
  • Session ID — a randomly generated identifier for your chat session
  • IP address — used for analytics and abuse prevention
  • User agent — browser and device information
  • Page URL — the page where the chat was initiated
  • Name and email — only if voluntarily provided during the chat

1.2 Dashboard Users (Business Customers)

When you register for a WebDialogAI account, we collect:

  • Account information — name, email address, password (hashed)
  • Organization details — company name, domain
  • Usage data — feature usage, login activity

1.3 Automatically Collected Information

  • Log data — server logs, error reports
  • Analytics — aggregated usage statistics

2. How We Use Your Information

We use collected information to:

  • Provide and operate the chat widget and AI assistant functionality
  • Process chat messages through AI models to generate responses
  • Enable businesses to manage customer conversations
  • Improve our services and develop new features
  • Prevent abuse and ensure platform security
  • Comply with legal obligations

3. AI Processing Disclosure

Chat messages are processed by third-party AI providers to generate responses:

  • Anthropic (Claude) — primary AI model for chat responses
  • OpenAI (GPT) — used for specific background tasks

Important: Neither Anthropic nor OpenAI uses data submitted through their APIs to train their models. Your conversations are processed solely to generate responses and are subject to each provider's data retention policies for API usage.

4. Data Sharing

We do not sell personal information. We share data only with:

  • AI providers — Anthropic and OpenAI, for processing chat messages (see Section 3)
  • Infrastructure providers — hosting and database services necessary to operate the platform
  • Business customers — the business whose widget you are chatting through can access conversation data
  • Legal requirements — when required by law, regulation, or legal process

5. Data Retention

  • Chat conversations — retained for the duration of the business customer's subscription, unless deletion is requested
  • Account data — retained while the account is active and for a reasonable period afterward
  • Server logs — retained for up to 90 days

6. Your Rights

You have the right to:

  • Access your data — request a copy of data associated with your session
  • Delete your data — request deletion of your chat data
  • Portability — export your data in a machine-readable format

To exercise these rights for chat widget data, use the data export and deletion features available in the chat widget interface.

Business customers can manage data through the dashboard or by contacting support.

7. Security

We implement industry-standard security measures including:

  • Encryption in transit (TLS/HTTPS)
  • Encrypted database connections
  • Token-based authentication
  • Role-based access control

8. Children's Privacy

Our services are not directed to children under 13. We do not knowingly collect information from children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify business customers of material changes via email or dashboard notification.
